A real estate company was generating ad leads but had no system to convert them into appointments. Many leads were not tech-savvy enough for automation alone. We connected Follow-Up Boss via API, built automated nurture sequences, and added a real-time auto-trigger call system that alerts agents the moment a lead enters the CRM.

The client was a real estate company running paid ads for lead generation. The top of the funnel was working. Everything after it was not.

Leads were coming in but there was no dedicated system or team to nurture them into appointments. The critical window right after a lead converts was being missed because no agent was notified in time. And compounding it: many of their leads were not tech-savvy, so purely automated sequences could not carry the full job. Those leads needed a real person on the phone, fast.

What the client needed was a hybrid: automated nurture for scale and consistency, plus a real-time calling system so agents could engage the leads that automation alone could not convert.

What was broken.

Ads were generating leads, but there was no dedicated system or team to convert those leads into booked appointments. The pipeline stopped at lead entry.

Many leads were not comfortable engaging purely through automated email and SMS sequences. Automation alone was not enough to convert them to appointments.

The client's Follow-Up Boss tool was not integrated with the CRM, fragmenting lead management across disconnected systems with no unified view.

Without instant agent notification, the critical minutes right after a lead converts were being lost. In real estate, that window is everything.

What we built.

A hybrid nurture-and-call system: Follow-Up Boss connected to GoHighLevel via API, automated Email and SMS nurture for all incoming ad leads, and an auto-trigger call system that notifies agents the instant a lead enters the CRM. Automation handles volume and consistency; agents handle the human touch that closes the deal.

Key architecture decisions.

Why the system was built as a hybrid rather than automation-only.

design-rationale / three critical decisions
Decision 1: Hybrid over pure automation.
Pure automation was insufficient for this audience. The lead base included people who would not respond to email or SMS sequences without a human touchpoint. A call-only model would miss the volume that automation can handle. The hybrid lets both tracks run in parallel: automation keeps every lead warm; the call track closes the leads that need a person.
Decision 2: API integration over manual data export.
Follow-Up Boss was the client's existing lead management tool. Rather than migrating away from it or running parallel manual imports, we connected it to GoHighLevel via API so both systems share the same lead data in real time. Agents can work from either tool without duplication or stale records.
Decision 3: Auto-trigger on lead entry, not on nurture fail.
The call trigger fires the moment a lead enters the CRM, not after a sequence of nurture messages has been attempted and failed. Waiting for automation to fail before escalating to a call wastes the highest-intent window. Instant notification gets an agent on the phone while the lead is still warm from clicking the ad.

Connected Follow-Up Boss to GoHighLevel via API, unifying lead management into a single system instead of leaving it split across disconnected tools. Lead data, status updates, and contact records now sync between the two platforms without any manual export or import.

Automated Email and SMS nurture for ad leads.

Activated an Email and SMS nurture sequence that fires for every new lead sourced from paid ads. The sequence runs automatically, giving every lead consistent multi-touch follow-up at scale without requiring agent involvement for leads that self-serve through the funnel.

Auto-trigger call alert system.

Implemented a webhook-based system that notifies the relevant agent the moment a new lead enters the CRM. The notification triggers a call workflow so the agent can reach the lead within minutes of conversion. This directly addressed the speed-to-lead gap that had been costing appointments.

Fast agent follow-up for low-tech-savvy leads.

The real-time call alert enables agents to follow up before the lead has time to disengage. For leads who would not respond to email or SMS alone, the personal phone call from an agent within minutes of their ad click became the conversion mechanism that automation could not replicate.

Hybrid model: automation plus agent, in parallel.

The two tracks run concurrently for every lead. Automation handles volume and keeps the lead warm with consistent touchpoints. The agent call track handles the high-intent window and the leads who need human engagement. Neither track waits for the other to fail before activating.
