Insurance Agency Custom Development Reporting & BI Data Analytics

Multi-stage appointment data,
turned into a
30% no-show drop.

A growing insurance agency was making scheduling decisions on guesswork - appointment data sat in silos across presenters, closers, and follow-up stages, with no unified view. We built a fully interactive appointment trend dashboard with multi-stage tracking, best-day/best-hour analysis, and integrated marketing stats.

Insurance Agency.

The client was a growing insurance agency managing a high volume of client appointments across multiple agents and locations. Their sales process ran in stages - initial presenter meetings, second closer appointments, and third-and-above follow-ups - each needing separate tracking.

Without a centralized reporting solution, identifying attendance trends, reducing no-shows, and optimizing agent scheduling was largely guesswork.

They needed a custom dashboard giving leadership and appointment owners complete visibility into when appointments were booked, who showed up, and which days and times consistently delivered the best results.

What was broken.

The compounding operational gaps that made the status quo unsustainable.

01
No centralized appointment reporting.
Appointment data across presenters, first closers, and second closers was tracked in silos - no unified view of performance trends across agents and locations.
02
High no-shows, no identifiable pattern.
The team had no visibility into which days, times, or agents generated the highest no-show and cancellation rates, making the problem impossible to address proactively.
03
Unoptimized scheduling.
Without data on the best days and hours, scheduling decisions were based on habit rather than performance - leaving revenue on the table.
04
Limited filtering capability.
Leadership couldn’t slice appointment data by agent, status, location, date range, salary band, savings per month, or closed points without manually exporting and rebuilding reports.
05
Marketing & appointment data siloed.
Email marketing statistics were tracked completely separately from appointment performance, hiding how marketing activity drove bookings.

What we built.

We designed and built a comprehensive, fully interactive appointment trend dashboard - real-time visibility across every appointment stage, agent performance, and integrated marketing statistics, all from a single interface. Multi-stage panels, show-vs-no-show time series, best-day and best-hour analysis, advanced filtering, and a dedicated marketing stats panel.

The architecture.

How the system is wired, end to end.

01

Multi-stage appointment tracking.

Structured the dashboard into three distinct panels - Presenters (first appointments), Closers (second appointments), and Closers (third & above) - so leadership can independently monitor and compare each stage of the sales process.

02

Show vs. no-show time series analysis.

Built weekly line-chart comparisons tracking show counts against no-shows and cancellations across the last three months and the previous month, giving leadership a clear visual trend of attendance patterns per stage.

03

Best day & best hour analysis.

Developed day-of-week appointment volume charts and hourly distribution charts for each stage, so the team can identify which days and hours consistently drive the highest attendance and redirect scheduling accordingly.

04

Advanced multi-dimension filtering.

Integrated a powerful filter bar supporting filtering by appointment owner, location, date range, gross salary band, savings per month, closed points, age, first owner, second owner, and status - enabling granular analysis for individuals, teams, and leadership.

05

Marketing statistics panel.

Added a dedicated marketing stats section showing total contacts, emails sent, delivered, opened, clicked, bounced, unsubscribed, and validation cost - directly connecting marketing performance to appointment outcomes in one unified dashboard.
